As-is process

The as-is process is human-led and search-heavy.

The current process is not mainly new document collection. It is the repeated effort required to find, retrieve, cite, summarize, and validate evidence from a trusted but fragmented corpus. MVP Stage 0 improves the search, retrieval, and citation layer first.

01

Question intake

Legal / regulatory lead

The request arrives through email, meeting notes, or a matter brief. Scope, answer standard, sensitivity constraints, and deadline are clarified manually.

02

Corpus boundary

Review manager / data owner

Teams decide which repositories, submissions, study folders, quality records, prior memos, and legal work product are in scope.

03

Search strategy

Researcher / SME

Researchers translate the question into keywords, synonyms, product names, study IDs, date ranges, and likely source systems.

04

Manual search

Analyst / researcher

Reviewers search folders, PDFs, spreadsheets, and prior memos to build a candidate source list.

05

Relevance screening

Analyst / mid-level reviewer

Analysts open candidate documents and decide which sources are worth deeper review.

06

Passage retrieval

Researcher / attorney

People open long documents and hunt for exact pages, tables, clauses, sections, or excerpts that support the answer.

07

Citation capture

Analyst / paralegal

Citations, filenames, page numbers, excerpts, and links are copied into notes or spreadsheets.

08

Summarization

Researcher / attorney

Reviewers manually paraphrase long source documents and produce uneven summary depth.

09

Cross-document synthesis

SME / senior analyst

Researchers compare sources manually to reconcile conflicts, gaps, corroboration, and chronology.

10

Sensitivity review

Attorney / compliance SME

Senior reviewers check citations for privileged, confidential, PII/PHI, trade secret, or regulatory-sensitive content.

11

Expert validation

Senior expert

High-risk or ambiguous findings are escalated with inconsistent context and partial evidence packets.

12

Answer preparation

Attorney / research lead

Teams copy evidence into memos, tables, and leadership summaries, then manually check source support.

13

Audit and reuse

Review manager / legal ops

Decisions, citations, edits, and approvals are scattered across trackers, notes, emails, and folders.

As-is issues

Known process drag

  • Search depends on keywords, folder memory, and who knows where prior work lives.
  • Reviewers may find a document but still lose time locating the exact supporting passage.
  • Citations and summaries drift as evidence moves from PDF to spreadsheet to memo.
  • Senior experts receive incomplete context and spend time re-checking sources.
  • Baseline metrics such as time-to-source, retrieval precision, and rework are not captured.
  • Prior answers are hard to reuse because decisions, excerpts, and approvals are scattered.

MVP improvement

What changes first

MVP Stage 0 improves the middle of the workflow: corpus scoping, search strategy, retrieval, passage location, citation capture, and query logging. MVP Stage 2 adds grounded summaries and evidence packets. Final sensitivity, interpretation, and approval remain human-owned.
